Goals

Tara came to me because she wanted the backend of her business to reflect the same level of professionalism and strategy she delivers to her clients.

While her client experience was already strong, she wanted systems that felt aligned with her brand, reduced the manual work happening behind the scenes, and gave both her and her clients greater clarity throughout every project. Alongside her CRM, she also needed a project management system that would keep both her internal operations and client projects organised as her business continued to grow.

The main goals of this project were to:

• Build a fully customised CRM inside HoneyBook.
• Create a seamless and professional client journey.
• Reduce manual admin through intentional workflows and automation.
• Build a structured project management system inside Asana.
• Improve visibility across client projects, business operations, and lead management.

Approach

This project focused on creating a backend that was just as intentional as Tara’s client-facing brand.

We first mapped out her ideal client journey before building her CRM inside HoneyBook to support every stage, from inquiry through to project completion. We then turned our attention to her internal operations, creating an Asana workspace that made it easy to manage her business, clients, and pipeline from one central location.

Every system was designed to work together, giving Tara complete visibility over her business while creating a seamless experience for her clients.

Solutions

CRM Setup – HoneyBook

We fully customised Tara’s HoneyBook account to reflect her brand and business processes. This included:

• Structuring her services and packages within the platform.
• Customising the platform with her branding.
• Setting up her call schedulers.
• Creating her proposal, contract, inquiry, and client questionnaire forms.
• Designing automated workflows to guide clients through every stage of their journey.

Project Management Setup – Asana

We also built a complete project management system inside Asana, including:

• A dedicated task management space for her daily workload.
• A Business Overview hub containing SOPs, login details, important links, business information, and key resources.
• A client portal and project workspace where clients can track project progress, view outstanding tasks, and stay informed throughout the process.
• A lead tracker that provides visibility into every enquiry, making it easy to monitor where leads are in the sales process and identify who requires follow-up.

Together, these systems provide Tara with a single source of truth for managing both her business operations and client delivery.
